# After hours lead calling: what to do with 10 pm enquiries

> For after-hours lead calling, do not ring people late at night. Set your calling hours, let an AI caller ring night-time enquiries the moment your window opens next morning, and call instantly anything that arrives inside it. Answer incoming calls on a rented number at any hour, and offer details on WhatsApp so the lead has something to read tonight.

## The 10:40 pm enquiry

A 2BHK enquiry comes in at 10:40 pm from a Facebook ad. The man who filled it has just put his kids to bed and is scrolling. He fills your form, and two others. By the time your team logs in at 10 am, someone else has already called him at 9:05.

Check your own lead sheet. Sort by time and count how many came after your office closed. For many consumer businesses it is a large share, because evenings are when people have time to think about a house, a car, a college or a loan.

Do this count properly once. Export a month of leads with their time stamps into a sheet, and split them into three groups: during office hours, evening up to 9 pm, and after 9 pm. The evening group is the one you can win with a later calling window. The after-9 group is the one you win next morning.

Then check when each group was actually first called. In most offices the after-9 leads are called at 11 am or later, after the team has cleared its own list. That gap is the problem this post is about.

## Do not call people late at night

The tempting fix is "call everyone instantly, 24x7". Don't. A call at 11 pm about a flat is unwelcome even if the person just filled your form. It also sits badly with India's calling rules on commercial calls, which expect sensible hours and respect for preferences. Our [AI calling rules guide](https://agents.elevatebox.in/guides/ai-calling-rules-india-trai-dlt) covers the details.

So the goal is not to call at night. The goal is to be first in the morning, and to be useful to someone who reaches out to you at night. Both are easy to set up, and neither needs anyone to stay late.

## How calling hours work with an AI caller

With ElevateBox you set the hours each AI employee may call, for example 9 am to 8 pm, Monday to Saturday. Then:

- A lead arriving inside the window is called within seconds.
- A lead arriving at 10:40 pm waits, and is called right when the window opens next morning.
- Overnight leads are rung as the window opens, not left for someone to work through by hand.
- Nobody is called outside the window, even on a retry.

The calling-hour settings, including days and time zone, are explained in [calling policy](https://agents.elevatebox.in/help/calling-policy).

### Retries respect the window too

Say the 9 am call goes unanswered. The retry is scheduled later in the day, inside the window, as per your follow-up settings. If the last retry would fall after closing time, it moves to the next morning instead of ringing at night.

### Different sources, different hours

You can give each lead source its own hours. A clinic might call appointment enquiries from 8 am, but call health-package leads only from 10 am. Where a source's hours and the AI employee's hours differ, the narrower one wins.

## Should you stretch the window?

Many businesses end calls at 6 pm because that is when staff leave. An AI employee does not leave, so you can choose the window based on your buyers instead. A few honest guidelines:

- Stretching to 8 pm or so catches people after work, which suits salaried buyers.
- Going past 9 pm rarely helps and often irritates. Leave late enquiries for the morning.
- Sunday calls suit some trades, like real estate site visits, and not others.
- Loan recovery and overdue EMI calls have stricter expectations: keep them between 8 am and 7 pm, in line with RBI's fair practices guidance.

Test it. Run a 9 am to 6 pm window for two weeks, then 9 am to 8 pm for two weeks, and compare how many evening calls were picked up and how many booked. Your own leads will tell you more than any general rule. If the 7 to 8 pm calls pick up well and nobody complains, keep them.

Also think about the day. A Saturday window suits buyers who work weekdays. A Sunday window suits property and car showrooms that are open. Festival days are usually best left alone.

## When the lead calls you at night

Some people call the number on your ad at 10 pm. If nobody answers, they move on. Rent an Indian number, from ₹649 for 30 days, and let the AI employee answer incoming calls at any hour. Calling them at night is the problem; answering them when they ring you is good service.

On that call it can answer the basic questions from your brief, note the requirement, and book a visit or a callback for the morning.

Your sales team then starts the day knowing who called last night and what they wanted. Compare that with a missed-call list of unknown numbers, half of which nobody ever calls back.

## The WhatsApp handoff

A night-time enquirer often wants to read, not talk. When the AI employee does reach them, during hours or on an incoming call, it can ask:

"Brochure aur location WhatsApp pe bhej doon?" (Shall I send the brochure and location on WhatsApp?)

The yes is recorded on the call, so your team, or your WhatsApp setup, sends the material with the lead's permission on record. Next time they are scrolling at 10:40 pm, it is your brochure they are looking at.

One caution: do not send unasked WhatsApp messages at night either. A message at 11 pm is less intrusive than a call, but if the person did not ask for it, it still reads as spam. Ask first, on the call, and send in the morning if you are unsure.

## A morning routine that wins

1. Window opens: every overnight lead is called by the AI employee.
2. By the time your team arrives, the summaries are waiting, sorted Hot, Warm or Cold.
3. Sales staff call the Hot ones personally to confirm visits.
4. No-answers get retried later in the day, as per your follow-up settings.

Monday mornings matter most. Weekend ads bring the most night-time enquiries, and Sunday night is when people fill forms planning the week. If your window opens at 9 am on Monday and every Sunday-night lead is rung then, you have done in minutes what used to take your team until lunch.

## Frequently asked questions

### Should I call leads that come in after 9 pm immediately?

No. Late-night calls irritate people and can sit badly with commercial calling rules. Let them wait until your calling window opens next morning, and make sure your AI caller rings them right at the start of it, before anyone else does.

### Can an AI answer my business number at night?

Yes. Rent an Indian number from ₹649 for 30 days and the AI employee can answer incoming calls at any hour, answer basic questions from your brief, note what the caller wants and book a morning callback or visit.

### What calling hours should I set for an AI caller?

A common choice is 9 am to 8 pm, on the days your business works. Match it to your buyers: salaried people pick up more after work, but avoid late night. Recovery calls for loans should stay between 8 am and 7 pm.

### Will overnight leads be called one by one in the morning?

They are rung as your window opens, without anyone working through the list by hand, so the last lead from last night is not left waiting until the afternoon.
