# Insurance renewal reminder calls for agents

> Insurance renewal reminder calls work best at about 30, 15 and 5 days before the policy expires. An AI employee can call each motor or health client in Telugu, Hindi or English, confirm the expiry date, ask whether they still need cover, and book a call with you. It never recommends a policy or quotes premiums, so the advice stays with the licensed agent.

## Why renewals slip through

An agent in Guntur has 900 active policies: two-wheeler, car and family health. Every month 70 to 90 come up for renewal. The agent knows the dates are in the software, but between new client meetings and claims follow-up, half the reminder calls happen two days before expiry, or after it.

Late reminders cost more than one premium. A client who renews online elsewhere at the last minute may never come back. A family health policy that lapses can lose continuity benefits, and a vehicle on the road without valid third-party cover is against the law. Early, friendly calls protect the client and the book.

## A simple reminder schedule

| When | What the call does | Outcome to capture |
| --- | --- | --- |
| 30 days before expiry | Inform and confirm details | Still has vehicle or same family members? |
| 15 days before | Book a call or visit with the agent | Slot booked, or wants a quote by WhatsApp |
| 5 days before | Last reminder | Renewed already, renewing, or not renewing |

Your policy software export or a Google Sheet can drive this. Upload the next month's expiries as a [bulk campaign](https://agents.elevatebox.in/help/bulk-campaigns), or let a new sheet row trigger a call. Retries for unanswered calls are set in your policy.

## What the client hears

- Hindi: "Namaste Vikas ji, main aapke insurance advisor Ramesh ji ki taraf se bol rahi hoon. Aapki bike ki policy 12 November ko khatam ho rahi hai. Kya aap abhi bhi yahi bike chala rahe hain?" (Calling on behalf of your insurance advisor. Your bike policy ends on 12 November. Do you still ride the same bike?)
- Telugu: "Mee family health policy next month 3rd ki expire avutundi. Ramesh garu tho call book cheyyamantara?" (Your family health policy expires on the 3rd next month. Shall I book a call with Ramesh garu?)
- English: "Your car insurance renews on the 20th. Would you like your advisor to call you this week to go through it?"

## The one thing it must never do: advise

Insurance advice belongs to the licensed agent. The brief should say so in plain words. The AI employee does not:

- Recommend one insurer, plan or add-on over another
- Quote premiums, no-claim bonus amounts or sum insured
- Say a claim will or will not be covered
- Suggest dropping a member or reducing cover to save money

If the client asks "Which is better, zero dep or normal?", it answers: "Ramesh garu will explain that on the call. Shall I book it for tomorrow evening?" That keeps the call useful and keeps you within the regulator's rules on who can advise.

## What the agent sees after each call

- Still needs cover: yes, no, sold vehicle, moved city
- Changes to note: new car, new family member, address change
- Booked call or visit with the agent, with time
- Wants the renewal quote on WhatsApp (with permission)
- Already renewed elsewhere, and if they said why

The last field matters most to an agent. If three clients in a month say they renewed online because it was cheaper, that is something to discuss with your insurer, not to guess at.

## Cost of reminding a whole book

For example, 90 renewals a month, three calls each, around 70 seconds per call: about 315 minutes, roughly ₹2,514 at ₹7.98 a minute. Unanswered calls are not charged. One saved family health renewal usually earns more than that in commission. Check your own numbers on the [cost calculator](https://agents.elevatebox.in/tools/ai-calling-cost-calculator).

## Old lapsed clients

Most agents also have a list of policies that lapsed in the last two years. A polite call asking whether they would like a fresh quote can bring some back, but only to people who have not opted out. Read [old customer list reactivation calls](https://agents.elevatebox.in/blog/old-customer-list-reactivation-calls) before calling a list like that, and check DND and consent first in the [calling rules guide](https://agents.elevatebox.in/guides/ai-calling-rules-india-trai-dlt).

## When the agent should call personally

A client with a pending claim, a complaint about a past claim, or a health condition that may affect renewal needs you, not a reminder. The AI employee hears these, notes them, and marks the call Hot so it is the first thing you see. It does not try to calm a claims dispute on its own.

## Getting your client list ready

Most agents already have the data in their policy software or an Excel file. Before the first campaign, make sure each row has:

- Client name, as they like to be addressed
- Mobile number, checked for the latest one
- Policy type: two-wheeler, car, commercial vehicle or health
- Vehicle number or the covered family members
- Expiry date
- Preferred language: Telugu, Hindi or English

Remove clients who have told you they no longer want calls. Keep the file updated each month so the next set of expiries goes in on time.

## Mistakes agents make with renewal reminders

- Starting the reminders a week before expiry, when the client has already received three online quotes.
- Calling about a car the client sold last year. Ask and update the record.
- Letting the reminder turn into a sales pitch for a new product.
- Not calling back the clients who asked for a quote. A booked call that the agent misses is worse than no reminder.

## Commercial vehicles and fleet owners

An agent who covers autos, tempos and taxis has a different kind of client. A fleet owner with eight vehicles does not want eight calls. Group the policies by owner and make one call that lists the vehicle numbers and expiry dates, then book a single meeting with the agent to renew them together.

Drivers who own one auto are often on the road all day. The best time to reach them is early morning or late afternoon, inside your calling hours. Set the retry times to match. A permit check or fitness renewal coming up at the same time is worth noting too, since the client will need the insurance papers for it.

Commercial clients also ask more practical questions on the phone, such as whether the policy covers the driver or goods. The AI employee notes the question for the agent and does not answer it.

For health policies, the call should be gentler still. Families worry about losing cover. Keep the words simple, give the date, and let the agent handle every question about waiting periods or members.

> Hear a renewal reminder in your client's language before you turn it on. Talk time is ₹7.98 a minute, billed by the second. [See pricing](https://agents.elevatebox.in/pricing).

## Frequently asked questions

### How many days before expiry should an insurance renewal reminder call go?

Around 30, 15 and 5 days before expiry works for most motor and health policies. The first call confirms details, the second books time with the agent, and the last catches anyone who has not acted.

### Can an AI employee suggest which insurance policy to buy?

No, and it should not. It reminds clients, confirms details and books a call with the licensed agent. Questions about cover, add-ons or premiums are noted and answered by the agent personally.

### Can insurance renewal reminders be made in Hindi and Telugu?

Yes. Each client can be called in Telugu, Hindi or English, set per row in your list. Policy dates and vehicle numbers are spoken clearly so the client recognises their own policy.

### Will renewal reminder calls work for motor and health policies together?

Yes. Upload both in one list with a policy type column, and the call adjusts its question, asking about the vehicle for motor policies and the covered family members for health policies.
