AI calling for real estate leads: qualify and book visits

How AI calling for real estate leads works in India: it asks budget, BHK, location and timeline, then books a site visit. Costs and limits inside.

Key takeaways

  • Most property leads go cold because nobody calls them in the first hour, not because they were bad leads.
  • The AI employee asks budget, BHK, location and timeline, then books a site visit on your calendar.
  • Give it your RERA number and approved project facts; it must never promise prices, returns or approvals it was not given.
  • A thousand minutes of talk time costs about ₹7,980 at list price, far below one telecaller's monthly salary.
  • A human closes the deal. The AI employee does the first call, the reminders and the re-calls.

Why property leads go cold so fast

A 3BHK enquiry comes in at 10:40 pm from a Facebook ad for your Kokapet project. The buyer is on the sofa, comparing four projects on their phone. By the time your telecaller calls at 11 the next morning, two other builders have already spoken to them and one has booked a Sunday visit.

This is the real problem with real estate leads in India. The leads are not all bad. They are just called late, called once, and then forgotten. The well-known Lead Response Management study found that calling within five minutes instead of thirty gave 21 times the odds of qualifying the lead. Property buyers are no different.

An AI employee fixes the speed part. It rings each new lead within seconds of the form being filled, inside the calling hours you set. The rest of this post covers what it should ask, what it must not say, and where your sales person takes over.

The four questions every first call should answer

A good first call is short. Two to three minutes is enough to know whether this buyer deserves a site visit. The AI employee is built from your brief, so you decide the questions. For most builders these four do the job:

  1. Budget: a range, not an exact figure. "Around 80 lakhs to 1 crore" is a perfectly good answer.
  2. Size: 2BHK, 3BHK, villa or plot, and roughly how many square feet or square yards.
  3. Location: which area they prefer, and whether they are open to a nearby one.
  4. Timeline: buying in the next three months, this year, or just exploring. Also ask if a home loan is involved.

Two extra questions help a lot: who else decides (spouse, parents, a brother abroad) and whether this is for living in or for investment. Both change how your sales person pitches the visit.

What a first call sounds like

Hyderabad buyers mix languages freely, so the AI employee does too. A typical opening in Telugu and English: "Namaskaram Ravi garu, nenu Skyline Homes nunchi matladutunnanu. Meeru Kokapet 3BHK gurinchi enquiry chesaru, oka rendu nimishalu matladavacha?" (Hello Ravi, I am calling from Skyline Homes. You enquired about the Kokapet 3BHK, can we talk for two minutes?)

If Ravi answers in Hindi or English, the employee follows. It speaks Telugu, Hindi, English and more, and you hear it on a free test call before any buyer does.

RERA and project facts: what to give it, what it must not say

Buyers ask factual questions on the first call. Is it RERA registered? When is possession? Is there a clubhouse? The AI employee answers from the facts you write into its brief, nothing more. Give it:

  • The project name, location, and the RERA registration number exactly as it appears on the state RERA site
  • Unit types, carpet area ranges and the starting price you are comfortable saying on a call
  • The possession timeline you have committed to in writing
  • Amenities, the nearest landmarks, and the site office timings
  • Which banks have approved the project for home loans, if any

Just as important is what it must not say. Tell it plainly in the brief: never promise a price beyond the starting price, never talk about rental yield or appreciation, never claim an approval you have not listed. If a buyer asks something outside the facts, the employee says the sales manager will answer it at the site visit. That is honest, and it gives the buyer one more reason to come.

What gets written down after every call

Every call has a recording, a transcript and a short summary in Conversations. The answers to your questions are saved as fields, so you can sort and filter instead of listening to calls. Each lead is also marked Hot, Warm or Cold.

Cost: a telecaller versus an AI employee

A telecaller in India earns about ₹17,500 a month on average (AmbitionBox, 2026), before incentives, a seat, a phone and a SIM. They work one shift and call one lead at a time. Leads that arrive at night wait until morning.

For example, say your projects bring 800 leads a month and the calls that connect add up to 1,000 minutes. At list price that is about ₹7,980 of talk time. Unanswered calls are not charged. Run your own numbers in the AI calling cost calculator.

Where your sales person takes over

The AI employee is good at the first call, the reminder and the re-call. It is not the person who closes a 1 crore deal. Hand over when:

  • The buyer is Hot: budget fits, timeline is under three months, visit booked
  • They want to negotiate price, payment plan or a specific floor
  • They ask legal questions about title, approvals or the agreement
  • They are angry or upset about anything

Your sales person opens the lead, reads the summary, and walks into the site visit already knowing the budget, the family and the objections.

Setting it up for one project in an afternoon

You do not need a CRM project or an IT team. Most builders start with one project and one lead source, watch a week of calls, then add the rest.

  1. Write the brief in plain words: the project facts, the four questions, the visit slots, and what it must never say.
  2. Pick the opening language. Telugu for Hyderabad and Vijayawada projects, Hindi or English where your buyers prefer it.
  3. Make a free test call to your own phone. Ask the awkward questions a real buyer would, like "why is it costlier than the project next door?"
  4. Connect the lead source: your Meta lead ad, website form, a Google Sheet, or property portal leads through a sheet or webhook.
  5. Set calling hours, for example 9 am to 8 pm, and block festival days when the site office is shut.
  6. Read the first fifty summaries yourself. Fix the one or two answers that sound off, then let it run.

After the first week, check the Performance page. It shows how many leads were reached, how many became Hot, and how many visits were booked, so you can see whether the calls are paying for themselves.

Playbooks for each kind of property lead

Different leads need different calls. We have written one post for each common case:

Frequently asked questions

Can an AI employee book a site visit on its own?

Yes. You give it the days and slots your site office is open, and it offers those to the buyer, confirms one, and saves it against the lead. It can also ring the day before to confirm, so your sales team sees which visits are still on.

Will buyers know they are talking to an AI?

Some will guess, and if a buyer asks, the employee should say so honestly. Most buyers care more that someone called quickly and answered their questions clearly than about who made the call. Be upfront in your brief and it stays honest on every call.

Can it answer RERA and possession questions?

Only from the facts you give it. Put your RERA registration number, possession date and approvals in the brief. Anything outside those facts, it passes to your sales manager instead of guessing, which is what you want for legal and price questions.

How much does AI calling cost for a builder's leads?

You pay ₹7.98 a minute of talk time, billed by the second, from a prepaid wallet. Calls nobody picks up are not charged. Most qualifying calls run two to three minutes, so each connected lead costs a few rupees to qualify.

Does it work for property portal leads too?

Yes. Leads from property portals, your website form, a Google Sheet or a Meta lead ad can all be sent to the employee. Each source can have its own calling hours, and every lead is called the same way.
